Position: Scheduling Coordinator (IDA ) Job Summary Join us in making a difference at Home of Guiding Hands as we improve the quality of life for children with special needs. As the Scheduling Coordinator, you will contact families to ask screening questions and schedule their children for assessments with our knowledgeable and caring team. Tasks, Duties, and Responsibilities

  • Process referrals to determine which evaluators are best equipped to assess the child’s presenting concerns, including whether additional language assessment is needed.
  • Schedule IDA assessments through telephone screening with the child’s caregiver, including verification of personal information.
  • Provide caregivers with necessary preparation instructions (complete and/or send needed paperwork, briefly explain assessment intake process).
  • Update the master scheduling calendar for all assessors and notify them of appointments and any scheduling changes.
  • Communicate with families, funding/referral sources, staff, and any others.
  • Communicate with referring agency regarding scheduled assessments and related information and documentation.
  • Contact facility locations to schedule IDA assessments as needed.
  • Arrange for interpreting services in accordance with family needs.
  • Remain knowledgeable of program database, input and maintain appointment and assessment information.
  • Complete all paperwork in a timely fashion.
  • Prioritize referrals to ensure assessment and collateral are completed and submitted within a 21‑day timeframe.

Qualifications

  • Bachelor’s Degree.
  • Previous scheduling experience preferred.
  • Read, write, speak, and understand English and Spanish.
  • Must be 18 years of age or older.
  • Must receive criminal record clearance.
  • Proficient in Microsoft Word.
  • Excellent computer skills to stay organized.
  • Collaborative professional with strong oral and written communication.
  • Ability to form positive, supportive, and professional working relationships.
  • Detail-oriented with ability to ensure accuracy of program documents.
  • Ability to manage work time efficiently and meet deadlines.
  • Ability to maintain cultural awareness and sensitivity when working with diverse attitudes.

Physical Requirements / Work Environment The work environment involves working in an office setting, with a designated workspace and access to office supplies and equipment. Remote work is an option.

  • Regularly required to see, talk, hear, walk, bend, stoop, sit, stand, reach, and lift objects weighing up to ten pounds repeatedly during a shift.
