Event Coordinator, Luxury Hospitality

Our client, an iconic luxury hotel and resort group, is seeking an exceptionally organized and detail-oriented Event Coordinator to manage high-profile events. This is a fully remote position, allowing talented event professionals to orchestrate unforgettable experiences from anywhere. You will be responsible for the planning, execution, and successful delivery of a wide range of events, including corporate functions, social gatherings, and exclusive parties. This role requires a keen eye for detail, exceptional communication and interpersonal skills, and a passion for delivering impeccable service. You will work closely with clients to understand their vision, manage vendor relationships, coordinate logistics, and ensure seamless execution from concept to completion. The ability to thrive in a fast-paced environment, manage multiple priorities, and maintain a high standard of excellence remotely is paramount. Responsibilities: Plan and execute a variety of events, ensuring all client requirements and expectations are met. Collaborate with clients to develop event concepts, themes, and detailed proposals. Manage event budgets effectively, tracking expenses and ensuring profitability. Source and manage relationships with vendors, including caterers, florists, entertainment, and audiovisual providers. Coordinate event logistics, such as venue setup, seating arrangements, and scheduling. Develop detailed event timelines and run-of-show documents. Oversee on-site event execution (remotely coordinating with local teams) to ensure seamless delivery. Conduct post-event evaluations to gather feedback and identify areas for improvement. Stay abreast of industry trends and innovations in event planning and hospitality. Maintain a high level of client satisfaction through proactive communication and exceptional service. Prepare event summaries and financial reports for management. Qualifications: Bachelor's degree in Hospitality Management, Marketing, Communications, or a related field. Minimum of 3 years of experience in event planning and coordination, preferably within the luxury hospitality sector. Proven ability to manage multiple events simultaneously in a demanding environment. Exceptional organizational, time management, and multitasking skills. Strong negotiation and vendor management abilities. Excellent written and verbal communication and interpersonal skills. Proficiency in event management software and Microsoft Office Suite. Ability to work independently and take initiative in a remote setting. Creative flair and a passion for creating memorable experiences. Flexibility to work non-traditional hours, including evenings and weekends, as dictated by event schedules.
