Job Overview We are seeking a dynamic and detail-oriented Chat Support / Virtual Executive Assistant to support our operations in a fast-paced Manufacturing and B2B environment. This dual-role opportunity is ideal for a professional who excels in communication, organization, and administrative support while delivering exceptional customer service through digital channels. In this role, you will be responsible for managing live chat interactions, responding to client inquiries, and providing high-level administrative support to leadership. You will play a key role in ensuring smooth day-to-day operations, maintaining strong client relationships, and supporting internal workflows. Your proactive approach and attention to detail will help enhance efficiency, improve response times, and contribute to overall business success. Duties / Responsibilities

  • Provide real-time support to clients via chat, email, and messaging platforms in a professional and timely manner
  • Respond to customer inquiries, resolve issues, and escalate complex concerns when necessary
  • Manage executive calendars, schedule meetings, and coordinate appointments
  • Handle administrative tasks including email management, data entry, and document preparation
  • Maintain accurate records of customer interactions and administrative activities
  • Assist with project coordination and follow-ups to ensure deadlines are met
  • Support internal communication between departments and leadership
  • Monitor incoming requests and prioritize tasks based on urgency and importance
  • Conduct research and compile reports or summaries as needed
  • Ensure confidentiality and professionalism in handling sensitive information

Requirements

  • Proven experience in customer support, chat support, or virtual assistant roles
  • Excellent written communication skills with strong attention to detail
  • Strong organizational and multitasking abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and online collaboration tools
  • Experience with CRM systems, chat platforms, or help desk software
  • Ability to work independently in a remote environment
  • Strong problem-solving skills and a proactive mindset
  • Ability to manage time effectively and meet deadlines

Preferred Qualifications

  • Experience in a manufacturing or B2B environment
  • Familiarity with scheduling tools (e.g., Google Calendar, Calendly)
  • Basic knowledge of project management tools (e.g., Trello, Asana, or similar)
  • Previous experience supporting executives or senior leadership
