[Remote] Customer Service Representative

Exacta Land Surveyors LLC is a company that provides various types of surveys and lien searches with a commitment to accuracy and timely delivery. They are seeking a detail-oriented Customer Service Representative to manage the full lifecycle of incoming survey orders, including communication with clients and order processing.

Responsibilities

  • Monitor and process incoming order files on an hourly basis, uploading and entering orders into the order management system
  • Assign survey orders to appropriate vendors based on geography and capacity
  • Communicate order confirmations, status updates, and deliverables to clients primarily via email
  • Review completed survey deliverables for accuracy prior to client delivery; identify and resolve errors
  • Respond to client inquiries regarding quotes, order status, and corrections
  • Process order cancellations according to established procedures
  • Generate and distribute monthly client statements
  • Escalate complex or non-routine issues to the appropriate internal contact
  • Perform light accounting tasks, including bill entry and vendor information coordination

Skills

  • High school diploma or GED required; Associate's or Technical degree or higher preferred
  • 2+ years of customer service experience required; 5+ years preferred
  • Strong attention to detail with the ability to maintain accuracy at volume
  • Comfortable with repetitive, process-driven workflows and able to balance competing demands without losing sight of client expectations
  • A positive, flexible, solutions-oriented approach to the work — someone who stays composed under pressure and is genuinely committed to client service
  • Self-directed and able to manage a high-volume queue with minimal supervision
  • Clear written and verbal communication skills; able to respond to questions professionally and knowledgeably
  • Proficient in Microsoft Office (Outlook, Word) and comfortable learning new software and cloud-based tools independently
  • Valid driver's license and appropriate automobile insurance may be required
  • Associate's or Technical degree or higher preferred
  • 5+ years preferred
  • Experience with order management, CRM, or other job-related technology a plus
  • Experience in real estate, title, or survey industries a plus
  • Familiarity with lien search orders and estoppel reports a plus
