Position Overview

As a Customer Service Representative at arenaflex, you will serve as the first point of contact for members, healthcare providers, and plan sponsors. Your role is critical in shaping the customer experience and ensuring that every interaction reflects our commitment to excellence, compassion, and accuracy. You will handle inquiries and resolve issues through phone, web, and written correspondence, often addressing complex and sensitive matters that require a high degree of professionalism and empathy.

This is a full-time, remote position based in California, with a competitive hourly rate of $30-$41. Our contact center operates 24/7, 365 days a year, including weekends and holidays. We are looking for candidates who are flexible and can work any shift, including overnight, weekend, and holiday shifts, based on business needs.

Key Responsibilities

As a Customer Service Representative, your day-to-day responsibilities will include, but are not limited to:

  • Resolving Member Inquiries: Respond to questions and resolve issues raised by members, providers, and plan sponsors via phone, email, and web-based communication channels.
  • Escalating Emergencies: Identify emergency situations and route them to the appropriate staff or department for immediate attention.
  • Documenting Interactions: Accurately record and track all contacts with members, providers, and plan sponsors in our contact management systems.
  • Guiding Members Through Benefits: Help members understand their plan benefits, arenaflex policies, and procedures, ensuring compliance with all regulatory guidelines.
  • Building Trusting Relationships: Create emotional connections with members by actively listening, understanding their unique needs, and advocating for their best health outcomes.
  • Anticipating Needs: Proactively provide relevant information to address unasked questions, such as additional plan details, benefit summaries, and self-service tools.
  • Making Financial Decisions: Use customer service capacity frameworks to make appropriate financial decisions that resolve member issues effectively.
  • Explaining Plan Limitations: Clearly communicate member plan limitations in accordance with contractual terms.
  • Processing Claims and Referrals: Handle claim references, new case handoffs, nurse reviews, complaints, and inquiries from members and providers via objective systems.
  • Educating Providers: Inform providers about self-service options and assist with credentialing and re-credentialing processes.
  • Handling Legal Requests: Respond to requests from legal departments regarding litigation, claims, and extensive document reviews.
  • Supporting Reporting Efforts: Assist in preparing complaint trend reports and integrating claims data for customer audits.
  • Determining Medical Needs: Assess medical needs, review relevant coverage policies, and verify member plan eligibility for incoming correspondence and internal referrals.
  • Processing Pre-Authorizations: Handle incoming requests for inquiries and pre-approvals not managed by Clinical Case Management.
  • Reviewing Claim History: Conduct reviews of member claim history to ensure accurate tracking of benefit maximums, coinsurance, and deductibles.
  • Performing Data Entry: Complete financial data entry tasks as needed with a high degree of accuracy.
  • Generating Correspondence: Use relevant system tools to create quality letters and spreadsheets in response to inquiries.

Required Qualifications

To succeed in this role, you should possess the following qualifications and competencies:

  • Education: A Bachelor's degree is required.
  • Customer Service Experience: Previous experience in a transaction-based environment, such as a call center or retail setting, is preferred. Experience in a production-oriented environment is a plus.
  • Empathy and Compassion: Demonstrated ability to be empathetic and understanding when interacting with members who may be experiencing difficult situations.
  • Multitasking Ability: Capacity to handle multiple tasks efficiently while maintaining high standards of accuracy and service.
  • Medical Terminology: Understanding of medical terminology is essential for navigating healthcare-related conversations.
  • Communication Skills: Strong oral and written communication skills, with the ability to convey complex information clearly and concisely.
  • Technical Proficiency: Comfortable using Microsoft Word, Outlook, and other relevant software applications.
  • Attention to Detail: A meticulous approach to work, ensuring accuracy and adherence to production standards.
  • Negotiation Skills: Ability to negotiate effectively and find mutually beneficial resolutions.
  • Technical Aptitude: Comfortable learning and using new technologies and systems.
  • Problem-Solving Skills: Strong analytical and critical-thinking abilities to identify root causes and develop effective solutions.
  • Analytical Skills: Ability to analyze data, identify trends, and make data-driven decisions.

Preferred Qualifications

  • Prior experience in the healthcare or insurance industry.
  • Familiarity with customer relationship management (CRM) software.
  • Bilingual or multilingual capabilities are a strong plus.
  • Experience working remotely or in a virtual team environment.
